Postana respects your privacy. This Privacy Policy explains how Postana collects, uses, stores, shares, and protects information when you use the Postana mobile application, website, administrative tools, and related services collectively referred to as the “Service.”
In this Privacy Policy, “Postana,” “we,” “us,” and “our” refer to the operator of the Postana Service.
By using Postana, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
The information we collect depends on how you use Postana.
1.1 Account information
Postana accounts may be created or managed by us or by an authorized business administrator. Account information may include:
- Name
- Email address
- Phone number
- Store or business name
- Account role and access permissions
- Authentication and session information
1.2 Business information
When you use Postana, you or an authorized administrator may enter and manage business information, including:
- Store information
- Products and product variants
- Product images
- Prices and costs
- Inventory quantities and inventory movements
- Orders and sales records
- Expenses
- Reports
- Printer settings
- Categories and other business configuration
- Information contained in notes or descriptions
We refer to this information as “Business Data.”
1.3 Customer information entered by businesses
Postana may allow a business to store information about its customers, including:
- Customer name
- Phone number
- Email address
- Address
- Purchase information
- Other information entered by the business
The business using Postana is responsible for obtaining and using its customers’ information lawfully.
Postana processes this information only to provide the Service to the relevant business, unless otherwise required by law.
1.4 Product images and uploaded content
You may upload product photographs and other content to Postana. Uploaded content may be stored locally on your device and, where synchronization is enabled, transmitted to and stored on our servers or service providers.
You are responsible for ensuring that you have the right to upload and use this content.
1.5 Device and technical information
We may automatically collect limited technical information necessary to operate, secure, and improve the Service, including:
- Device type and operating system
- App version
- Language and regional settings
- IP address
- Error logs
- Crash information
- Diagnostic data
- Performance information
- Date and time of requests
We do not use this information for behavioural advertising.
1.6 Crash reporting through Sentry
We may use Sentry to detect crashes, diagnose technical problems, and improve app stability.
Depending on our configuration and the circumstances of an error, Sentry may receive information such as:
- Error messages
- Stack traces
- App version
- Operating-system version
- Device model
- Approximate event time
- Technical context surrounding a crash or error
We intend to configure Sentry to avoid deliberately sending unnecessary personal information. However, diagnostic information may sometimes include information associated with the affected account or action.
Sentry documents the categories its React Native SDK may collect and provides controls for filtering or scrubbing sensitive information. (Sentry Docs][2])
2. Device Permissions
Postana may request device permissions only when needed for a feature.
2.1 Bluetooth and nearby devices
Postana may request Bluetooth or nearby-device access so that you can:
- Discover supported printers
- Connect to a printer
- Send receipts or other print jobs
- Manage connected devices
On older Android versions, Bluetooth discovery may involve a location-related permission because of Android’s operating-system permission model.
On newer Android versions, Bluetooth scanning and connection normally use Nearby Devices permissions. Postana does not use Bluetooth permissions to track your physical location.
Android provides separate Bluetooth scanning and connection permissions on Android 12 and later and allows apps that do not derive location from scans to declare that use accordingly. (Android Developers][3])
2.2 Camera and photo access
Postana may request access to your camera or photo library so you can:
- Capture product photographs
- Select product images
- Scan barcodes or similar codes
- Attach images to supported records
Postana accesses only the content you choose to capture or select, subject to the permissions provided by your device.
2.3 Notifications
Postana does not currently rely on push notifications as a core feature. Future versions may request notification permission for matters such as:
- Important account notices
- Inventory alerts
- Synchronization status
- Business reminders
- Service updates
You may refuse or disable notifications through your device settings.
3. Offline Storage and Synchronization
Postana is designed to support offline use.
Business Data may be stored locally on your device so that parts of the Service continue to work without an active internet connection.
When an internet connection becomes available, locally stored information may synchronize with our servers. Until synchronization completes:
- Changes may exist only on the device
- Information may not be available on another device
- Conflicting changes may need to be resolved
- Deleting the app or resetting the local database may remove unsynchronized data
You are responsible for allowing synchronization to complete and for maintaining appropriate business records or backups.
4. How We Use Information
We may use information to:
- Create and administer accounts
- Authenticate users
- Provide POS, inventory, reporting, printing, and related functionality
- Store and synchronize Business Data
- Process requests and transactions entered into the Service
- Provide customer support
- Diagnose crashes and technical issues
- Improve performance and reliability
- Protect Postana and its users from fraud, misuse, and security threats
- Communicate important service or policy updates
- Enforce our Terms of Service
- Comply with legal obligations
We do not sell personal information.
5. Legal Grounds and Business Instructions
Where applicable law requires a legal basis for processing, we process information:
- To provide the Service you requested
- To perform our agreement with the account holder
- On the basis of legitimate interests, such as security and service improvement
- With consent, where consent is required
- To comply with legal obligations
When a business enters information about its customers or employees, that business generally determines why and how the information is used. Postana processes that information to provide the Service on the business’s instructions.
6. How We Share Information
We may share information only as reasonably necessary in the following circumstances.
6.1 Service providers
We may use trusted service providers for:
- Cloud hosting
- File and image storage
- Database services
- Authentication
- Crash reporting
- Email delivery
- Security
- Technical infrastructure
These providers may process information only as necessary to provide services to us and subject to their contractual and legal obligations.
6.2 Within an organization
Information may be available to other authorized users associated with the same business or store, depending on their account role and permissions.
6.3 Legal and safety requirements
We may disclose information when reasonably necessary to:
- Comply with applicable law or a lawful legal request
- Protect the safety, rights, and property of Postana, our users, or others
- Investigate fraud, abuse, security incidents, or violations of our terms
- Establish, exercise, or defend legal claims
6.4 Business transfers
If Postana is involved in a merger, acquisition, restructuring, financing, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.
7. Data Retention
We retain information for as long as reasonably necessary to:
- Provide the Service
- Maintain accounts
- Meet contractual commitments
- Resolve disputes
- Prevent fraud or misuse
- Comply with legal, tax, accounting, or regulatory obligations
- Maintain legitimate business records
Local Business Data may remain on a device until it is deleted, the local database is reset, the application is removed, or the device’s operating system removes it.
Backups and diagnostic records may remain for a limited period after active data is deleted.
8. Data Deletion Requests
You may request deletion of your Postana account or personal information by emailing:

Please include enough information for us to identify the relevant account.
Before completing a deletion request, we may need to:
- Verify your identity or authority
- Confirm the business account involved
- Ask the account owner or administrator for authorization
- Retain limited information where required by law or necessary for security, fraud prevention, dispute resolution, or legitimate business records
Deleting or resetting the local database through the app affects information stored on that device. It may not automatically delete information already synchronized to our servers.

9. Security
We use reasonable administrative, technical, and organizational measures intended to protect information.
However, no device, network, database, or internet transmission can be guaranteed to be completely secure. You are responsible for:
- Protecting your device
- Keeping login credentials confidential
- Using appropriate device security
- Limiting access to authorized staff
- Promptly reporting suspected unauthorized access
10. International Processing
Postana and its service providers may process or store information in countries other than your country of residence.
Where required, we will take reasonable measures intended to protect information when it is transferred across borders.
11. Children’s Privacy
Postana is a business-management service and is not directed to children.
You must not use Postana or create an account unless you are legally permitted to enter into an agreement or are using the Service under the authority of a responsible business or legal guardian.
We do not knowingly collect personal information directly from children for consumer purposes.
12. Your Choices and Rights
Depending on applicable law, you may have the right to:
- Request access to personal information
- Request correction of inaccurate information
- Request deletion of information
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Request a copy of certain information

13. Third-Party Hardware and Services
Postana may connect with third-party printers, operating-system services, hosting providers, or other external products.
Postana does not control third-party products, and their use may be governed by separate terms and privacy policies.
We are not responsible for the privacy, availability, security, or operation of third-party products.
14. Changes to This Privacy Policy
We may update this Privacy Policy to reflect:
- Changes to Postana
- New features or service providers
- Changes in data practices
- Legal or regulatory requirements
When we make material changes, we may provide notice through the app, website, email, or another appropriate method.
The effective date at the top indicates when the latest version became effective.
